JOB DESCRIPTION:

Aftercare Coordinator required for a construction company based in Manchester. Our client is looking for an experienced member to join their growing team in Manchester.

This role is a permanent role working 8am - 5pm Monday - Friday

Daily responsibilities will include

  • Ensuring the smooth handover of all Construction projects to Aftercare inclusive of all relevant paperwork - Subcontract order, contract directory, signed SLA, PC certificate, FS1 Form etc…..
  • Arranging with accounts for job to be set up on Evolution and given its own unique job number - Tender Tracking Form
  • Attendance at Construction handover meeting to gain an understanding of the site and to agree any outstanding items that are to be picked up and closed out by MGFS
  • Monitoring of helpdesk e-mails actioning anything in relation to Aftercare
  • Logging of all issues on snag & defects tracker
  • Tracker to be kept fully updated on the progress of all outstanding items
  • Tracker to be reviewed on a daily basis to ensure that it is fully up to date and that the relevant people have been chased for updates. The idea of the tracker is that anyone can access it at any given time and gain a full understanding of all outstanding defects / items
  • Ensuring that sites are kept fully up to date on outstanding items
  • Liaising with subcontractors and arranging for them to return to site and close out defects within their agreed SLA
  • Booking subcontractors in with site and obtaining any required paperwork prior to them attending site and ensuring that site are in receipt of a copy - RAMS etc.
  • Obtaining completion photos confirming items are closed out
  • Confirming with site that they are happy that items are closed out
  • Issuing of 7 day letters subject to Contractors refusing to return to site and managing this process with our Construction Team
  • Finding alternative Contractors to close out items as required
  • Identify and escalate situations requiring urgent attention
  • Raising and issuing of orders on Evolution if items are deemed and agreed to be chargeable
  • Agreeing all costs with Construction prior to any instructions being issued to subcontractors
  • Issuing of invoices for chargeable items either to the Client or internally to Construction
  • Approval of subcontractor invoices for payment and dealing with any disputes
  • Arranging fortnightly meetings with line manager to run through the tracker in full - approx. 3 hours
  • Issuing out of the tracker to the relevant Construction teams on a monthly basis
  • Arranging and attending making good defects meeting with client at least 3 weeks prior to the end of defects period
  • Closing out of final defects list in a timely manner
  • Chasing up and obtaining making good certificate and issuing to Construction to enable them to invoice for outstanding retention monies
  • Chasing confirmation from Construction that the invoice has been raised and issued to client
  • Answering of help desk phones and e-mails and actioning accordingly - this is subject to holidays, sickness or team meetings
  • Following of standard help desk procedures
  • On Call ROTA

Education, Qualifications and Experience:

  • Previous experience working in Construction
  • Strong computer skills - Excel & Word
  • Excellent communication skills
