Portfolio Tenancy Coordinator - City of London (Hybrid Working) - £30,000 to £32,000 DOE

My client, a successful global property firm, are currently seeking an experienced Tenancy Coordinator to provide support to the residential management team in the delivery of a high-quality service to the client and tenants across a large PRS portfolio.

The individual will be responsible for the general tenancy management for the portfolio following tenancy journey from start to move in. The role will be heavily customer and client facing with the main function to deliver exemplary customer service at all stages of a tenancy so excellent customer service and communication skills is essential.

The successful candidate will be a good team player with strong organisational skills, having the ability to work under pressure and a willingness to learn. A self-motivated individual, they will also be able to demonstrate reliability, flexibility and initiative with attention to detail and compliance with key statutory regulations.

The role will be predominantly office based between a site in Walworth and City of London. The role will require minimum of 3/4 days a week office based and 1 day work from home.

Duties:

  • Assist in the general tenancy management of properties under the direction of the Portfolio Manager
  • Deal with enquiries from tenants, contractors, utility providers, local authorities, etc.
  • Following the tenancy journey from start to move in, including property marketing and viewings, arranging holding deposits, referencing of applicants, issuing AST's and sending initial demands to the applicant, liaising closely with internal and external stakeholders as and when required
  • Contacting tenants in advance of expiry of the tenancy fixed term, negotiating renewals and issuing paperwork as appropriate
  • Providing professional advice on both tenancies and end of tenancy procedures, including advising on refurbishment works as required
  • Drafting and serving legal end of tenancy notices
  • Working with colleagues, agents and relevant websites / apps to understand the local markets
  • Managing client websites, portals or apps as required
  • Updating utility providers and local authorities of tenancy changes
  • Liaise with the property accounts team over any property queries where necessary
  • Undertake specific projects as requested by line manager
  • In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time
  • Attending meetings and preparing reports with support from senior members of the team
  • Responding to queries and requests in a timely manner
  • Providing advice and developing relationships with all representatives of the client

Skills and Experience Required:

  • 1 years' proven Tenancy Progression/Lettings Administration experience required
  • Good understanding of residential lettings compliance and ASTs
  • ARLA qualification would be ideal
  • Experience of dealing with clients and customers confidently with excellent verbal and written communication
  • Team player with strong customer service skills, able to provide a helpful and polite service
  • Excellent communication skills
  • Focus on customer service and delivery
  • Able to present at meetings
  • Ability to deal with confidential information
  • Good organisational and time management skills with the ability to prioritise workload and multitask in a calm and professional manner
  • Able to work under pressure to deadlines
  • Careful and conscientious with an aptitude for attention to detail
  • Excellent critical thinking skills with aptitude for creative problem solving
  • Willingness and ability to learn on the job, keen to undertake training and career development

Hours: Monday to Friday 9am to 5:30pm (2/3 days office based in City of London and 1 day in Walworth, 1/2 day working from home)
Salary: 30,000 to £32,000 DOE + Discretionary Bonus
