Job Description

As a Team Assistant, you'll deliver high-level administrative and operational support to senior executives within the Financial Services division. You'll coordinate meetings, manage calendars, organize events, and ensure smooth day-to-day operations that help leaders stay focused on driving success.

  • The Qualifications We Seek

  • Minimum of 3 years' experience as a Personal Assistant, Team Assistant, or Virtual Assistant, supporting senior leaders or cross-functional teams
  • Proven ability to adapt quickly and perform effectively in fast-paced, dynamic environments
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint, with strong document and calendar management skills
  • Skilled in organizing meetings, events, and team engagement activities, both virtually and in-person
  • Excellent written and verbal communication, with strong interpersonal skills across all organizational levels
  • Exceptional attention to detail and ability to prioritize multiple tasks while meeting deadlines
  • Experience using expense management systems such as Concur, Netsuite, or similar platforms
  • Creative and proactive communicator, capable of building strong relationships and anticipating needs
  • Friendly, approachable, and culturally aware, with a genuine appreciation for inclusion and diversity
  • Team-oriented and collaborative, passionate about supporting leadership success and team efficiency
  • Your Daily Tasks

  • Support senior leaders including the General Manager, Commercial, Executive Manager, Mortgage Solutions, and Executive Manager, Communications, Events & Franchise Marketing.
  • Manage diaries, schedules, and prioritize tasks and meetings for assigned leaders.
  • Coordinate travel arrangements and itineraries for local and international trips.
  • Organize offsites, events, showcases, and celebrations for teams.
  • Run reports and send sales contracts for the Commercial team.
  • Process invoices and manage expenses following company policies and guidelines.
  • Create onboarding plans for new hires within the team.
  • Continuously identify opportunities to improve systems and workflows for efficiency.
  • Foster a positive team culture and uphold leadership reputation.
  • Assist in planning and executing team engagement events.
  • Maintain professionalism and confidentiality in all matters.
  • Collaborate with the wider Financial Services (FS) team and Global Business Solutions (GBS) Manila office.
  • Provide proactive, accurate, and consistent support to ensure smooth business operations.
