Operational Support Assistant


Location: Exeter


Contract: South West Water


Key Responsibilities:

You will be responsible for maintaining and dealing with all operational support activities with an effective implementation of IT expertise and communication skills. Acting as a central point for the department to provide co-ordination of training, data collation, briefings and SHEA reporting. You will liaise with the operational teams, other Kier departments and you will report to the Operational Support Co-ordinator. In addition to the above duties you will also be required to provide cover for team members.
  • Maintaining and updating records held on an internal departmental database
  • Liaise with operational staff, external training providers, internal trainers and internal departments
  • Maintain and manage employee personal data under the General Data Protection Regulation (GDPR)
  • Manage, track and organise a high daily volume of emails
  • Update the training matrix and Activity Picker to identify and assign training requirements to individuals on the contract
  • Building training plans for the forthcoming year for contracts assigned to you. Maintain and update progress and status relating to the training requirements on the plan throughout the year
  • Organise training courses liaising with external training providers and internal trainers
  • Track, chase and issue outstanding certificates and update individuals' records once received
  • Preparing data and submission of monthly reports having excellent time management skills to meet deadlines
  • Organise, support and attend Kier events
  • Attend and take part in various meetings
  • Process flow generation & implementation
  • Any additional general support duties that may be required
  • Carry out First Aider / Fire Warden duties (optional)

Skills & Experience
  • High level or accuracy and attention to detail
  • Strong organisational and time management skills
  • Good communication with internal and external stakeholders
  • Strong IT skills to include Microsoft Word, Excel & Outlook
  • NVQ Level 2/3 in Business & Administration
  • First Aid / Fire Warden certificate

  • Ability to prioritise and carry out work in the specified time with minimum supervision
  • Self confidence in abilities, personal drive and enthusiasm
