An opportunity has arisen for two temporary positions of Servicing Co-ordinator - Electrical within Property Services for our Grimsby based Client. These are fixed term contracts for 6 months working 40 hours per weekMonday to Friday. These two posts are for implementing and concluding an accelerated electrical servicing programme for properties in Boston.
The purpose of these roles is to plan, schedule and monitor programmes for electrical tests. Follow no access procedure and help ensure 100% compliance. To provide a range of coordination services in accordance with departmental practices, standing orders, and financial processes and regulations to enable the department to achieve its objectives in terms of time, cost and quality of service.
Principle Accountabilities:
* Use Impact Response operating system to raise electrical tests. Monitor due dates of tests and services and proactively plan resource accordingly.
* Schedule appointments for tests to operatives or contractors in relevant working areas to ensure productivity is optimised.
* Ensure properties have followed no access procedure and had at least three letters and three chances of having tests completed before passing relevant details of address to legal
department.
* Take customer calls for rescheduling appointments within certain time frames and contact customers if operatives are unable to attend in time slots allocated. Work with operatives and
relevant supervisors to overcome difficulties in completing tests.
* Deal with enquires external and internal regarding electrical testing. Work with different sections of the organisation to help identify issues that would hinder access rates for tests.
* Ensure all Landlords Electrical Condition Reports are scanned and attached to Impact and have accurate service dates.
* Work with external contractors who may be required to conduct electrical tests. Update Impact jobs manually with time and date of works completed by subcontractor and ensure that
paperwork received is checked.
* Collect and prepare information, and undertake routine data entry, and produce returns and / or statistics.
* Support other areas of the Property Services Team where required.
* Undertake any other relevant duties required from time to time, as reasonably correspond to the general character of the post and is commensurate with the level of responsibility.
Knowledge and Experience:
* Excellent organisation and prioritisation skills.
* Excellent written and verbal communication skills.
* Excellent literacy and numeracy skills.
* Ability to use Microsoft applications to produce a range of documents to a high standard using a variety of software packages .
* Ability to work with minimum supervision or as part of a team.
* Customer focused with a commitment to exceptional service delivery.
* Budget management including raising purchase orders and processing invoices.
* Developing and maintaining administrative systems.
* Organising and facilitating meetings including taking and preparing minutes.
Job Context:
* Maintenance of Electrical Testing Programme.
* Preparation of reports for Property Services Management Team, Senior Management Team, Board, and Committees.
* Primary point of contact for Electrical Testing enquires.
