Our client supports NHS Trusts they provide highly qualified clinicians to work in conjunction with the trust, they support the NHS by providing staff to meet with patients. The clinical teams are committed to providing a wide range of clinical services. Our client is currently seeking a Booking Scheduling Supervisor, applicants must have previous experience within the NHS as a booking coordinator with supervisory or management experience.
Responsibilities
To co-ordinate and maintain staff resourcing across all contracts ensure that adequate resilience is maintained.
Work with the Service Delivery Lead, Service Manager and Mobilisation Manager to ensure all paperwork and induction materials for each contract are up to date and sent out to scheduled staff once allocation has been confirmed.
Responsible for managing the routine planning, preparation, inputting and publication of clinical duties across each contract ensuring compliance to clinic templates and the availability of resources continues to meet its operational commitments.
Work with the lead nurses to mitigate any risks associated with the fulfilling of the agreed Trust template and ensure this is escalated to the head of service delivery/operations in time to be communicated to the Trust
Set weekly milestones for scheduling team and analyse metrics to ensure team are working to optimum capacity in scheduling for each contract.
Ensure there is a process for confirming staff within a timely manner with accurate recording of this.
Prepare and disseminate documentation to staff who are booked for work in a timely manner.
Request monthly availability for ALL staff and collaborate with Nurse Leads to allocate available staff to different clinics.
Ensure the use of agency and or temporary workers are monitored and escalated as appropriate enabling analysis of metrics of this cohort vs those employed.
Compliance
Ensure use of temporary workers are signed off by the internal approval process.
Ensure any issues with the compliance of temporary workers are communicated to the Head of Operations to facilitate compliance
Maintain an accurate record of clinical staff registered by the company and available for work by liaising with recruitment on a weekly basis.
Oversee follow up documents required by Trust working with Recruitment
Maintain accurate records of templates i.e. clinic documents on shared drive so that they can be easily accessed
Maintain excellent relationship with clients and business partners
Assist with performance management issues to collate, analyse and present data/reports to managers in a written or verbal format.

Excellent management skills.
Exceptional time management and prioritisation skills.
Experienced in stakeholder engagement.
Proficient in Microsoft office suite.
Proactive approach to tasks.
Flexible, personable attitude.
Confident, pro-active and have excellent interpersonal and communication skills.
Proven experience of working under pressure in a busy working environment.
Competent in the use of Microsoft Word, Outlook and Excel.
Ability to demonstrate problem solving and problem solving skills using sound judgement.
Ability to cope under pressure and to tight deadlines.
Effective communication skills - verbal, written and listening.
Good telephone manner particularly in relation to customer service.
