Location: Regional Development Framework - Northern Region - Manchester
Kier Highways Major Projects are looking to recruit an experienced Administrator to join the Framework team. The role will initially be based in our central Manchester office but may be changed to a site-based role in the future.
Kier Highways have been awarded a place by Highways England on the 6-year Regional Delivery Partnership Framework. We are one of three companies who will collectively deliver projects through the north region in the 'Band B' (larger) schemes, overall regional spend will be circa £2.0billion. Kier will build on existing relationships with the client, stakeholders and supply chain based in the region to deliver schemes aligned to the Regional Investment Strategy (RIS) period 1 and period 2 schemes.
Kier Highways will work collaboratively with Highways England and other partner organisations and will initially be responsible for the detailed design and construction of the £79 million A585 Windy Harbour to Skippool and the A5036 Port of Liverpool £129 million tranche 1 schemes. Further capital or operations schemes will be awarded to Delivery Integration Partners based on performance on early schemes.
The successful post-holder will be responsible for providing full secretarial and administrative support to the Framework Leadership Team and project teams reporting to the Project Controls Lead.
Key Responsibilities:
- Create and maintain an office environment that enables staff, supply chain and workforce to deliver in the most efficient manner
- Manage the telephone system, answering all incoming calls in a professional manner
- Establish and maintain the system for managing incoming and outgoing correspondence.
- Maintain office email distribution lists, project calendars and noticeboards as appropriate.
- Manage staff whereabouts (including holidays) and meeting room calendars.
- Maintain organisation charts and seating plan and establish an up-to-date staff list.
- Order IT equipment as directed by the Project Manager and arranging new user IT login details.
- Management of stationery orders and items being ordered that are required.
- Organise and arrange meeting rooms, and supporting with ensuring that any materials are available, e.g. copies of reports.
- Organise refreshments for meetings as requested by the Leadership team.
- Organising or assisting with team and charity events, e.g. booking rooms, ordering buffets, etc.
- Typing of correspondence/letter/memos/meeting minutes as requested by the Leadership Team.
- Prepare agendas, presentations, reports, background materials, etc, that meet the project brand.
- Assist in organising travel, co-ordinating hotels, transport, etc. as requested by the Leadership Team.
- Assist in compiling reports and contractual documents to a high standard of presentation.
- Assist in maintaining the document control system, including scanning and uploading documents as directed.
- Assist with developing, maintaining and improving systems and processes to support the Project Controls Lead as requested.
- Provide secretarial support to the Framework Director.
- Provide cover and support for other members of the team as requested.
- Work as a collaborative member of the Kier team - facilitate the sharing of knowledge and best practice to the wider Kier team.
- Administrative and organisational skills
- Previous experience in a similar role.
- Must be IT literate especially Microsoft Word and Excel
- Efficient and professional approach with the ability to multi-task
- Possess strong communication, organisational and time management skills
- General willingness to be helpful, enthusiastic and flexible
- Self-motivated individual who will not accept second best
- Able to work as an individual and as part of a team
- Experience of working in construction.
- Experience of working on a construction site.
