Our South West Division is looking to recruit a Office Manager / Personal Assistant to the Managing Director & Finance Director to join the team. The Role Principal accountabilities of the Office Manager/PA to the Managing Director & Finance Director role include: Support the Finance Director with Human Resources administration such as the recruitment process, starters and leavers forms as well as maintaining attendance records for the Division, including holiday, sickness, attendance records and company cars. Minute meetings, type up notes and present in a professional format. Provide additional support to any of the Senior Management Team when required. Prepare monthly reports, collating information from various departments such as board reports and payroll information for the Division. Maintain efficient filing and archive systems for the Managing Director and Finance Director and for employee records. Organise staff training as and when required including managing the office fire marshals and first aid teams. Liaise with secretaries at Group and other Divisions. Manage the reception desk and administrational functions in the office to ensure efficiency and continuity is present for all departments. Ensuring the general office facilities are in working order such as I.T. Equipment for staff both office and site based and phones (including mobile phones for Site Staff). Stock management of Stationary and Kitchen consumables. Responsibility for Health and Safety across the office environment including arranging and assisting with annual Fire Risk Assessments, Personal Appliance Testing, Emergency Lighting etc. First point of contact to deal with correspondence and telephone calls, ensuring urgent messages are actioned immediately. Support the Managing Director with secretarial support such as typing up correspondence, diary management and organising meetings. Experience, Qualifications and Skills Experience: Experience of working in a secretarial/PA role supporting Director level roles. Experience of managing an administration office. Qualifications and Training: GCSE Maths and English – Grade 4/C or above (or equivalent) Skills and Aptitude: Excellent administration and organisation skills Strong communication and listening skills Ability to prioritise workload and meet tight deadlines Demonstrates a high level of discretion and confidentiality. Ability to work on own as well as part of a team Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and outlook) and the ability to adapt to new systems.
