Office Manager
An exceptional opportunity for a highly organised and motivated office manager looking for a long-term role supporting a very busy organisation. The ideal candidate will have a minimum of at least 2 years experience working within office management. Furthermore, it is vital that you obtain experience in a similar role within the construction industry. The role is ideal for an individual who enjoys a fast-paced working environment, is confident to take on new challenges and enjoys leading a wide range of activities.
Daily/Weekly Tasks:
- Organising Tenders when received and administering their return.
- Providing IT and administration support whilst liaising with our external support team to the Contracts Managers and Directors.
- Compiling Job Valuations and working with the Contracts Managers/Directors to complete these accurately and within budget.
- Invoicing.
- Chasing of Debtors and Job retention's.
- Ensuring Sub-Contractor Compliance including the collation of competence questionnaires and documentation for approval and keeping our approved sub-contractor list up to date.
- As part of this role, you will be required to be the health and safety coordinator. Responsibilities for this include:
- Preparing minutes for Internal Office Meetings, typing these up and circulating/actioning them appropriately.
- Calendar Management.
Annual Tasks:
- Managing Insurance renewals, fleet vehicles and utility contracts.
- Renewal of the Health and Safety Accreditation's which include CHAS, Safecontractor, SMAS Worksafe and Construction line Gold.
Essential Skills:
- Excellent organisation skills and the ability to work well under pressure.
- Excellent Computer skills required. You must be proficient in Microsoft Office applications including SharePoint and the ability to quickly learn how to use different tendering portals.
Please note: Our current office is based in Welling in Kent. However, the office will be relocating this year further into the Kent area. The successful applicant must be in a position to relocate to this area when the time comes, and no allowance will be made for the extra travel to and from the new office that this may cause.
