Purpose of the post:
- To actively assist in the day to day running of the Head Office.
- To take a lead on key income / payment processing activity generated by the operations.
- To prepare and monitor the monthly KPIs for the organisation.
- To actively participate in casework and legal action within the Income Recovery Process.
- To be the point of contact for internal and external.
- To undertake project work aimed at improving the service offer and making cost savings
Main duties of the post: Accounts Receivables Assistant
OVERVIEW
- To undertake generic administrative support for the organisation [e.g. Main line phone cover, hotel and hostel bookings, responsive repair logging] as and when required.
- To oversee the management and maintenance of all electronic and manual filing systems.
- To be the organisations 'champion' on the Housing Management IT system.
- To assist in the external audit processes.
- To work closely with the Income Recovery Team to log income and manage the Income Recovery monitoring systems.
- To assist in the monthly income invoicing processes.
- To work closely with the Income Recovery Team to undertake targeted casework with households in arrears.
- To work closely with the Income Recovery Team to actively manage high arrears cases through the legal processes and seeking eviction.
- To liaise with the Housing Management team to issue section 21 / 8 notices instigating eviction proceedings.
- To make court filings for court hearings and evictions.
- To assist in the preparation of monthly KPIs across a range of operational activities.
- To liaise with the LA and build a good working relationship in relation to Income recovery activities.
- And undertake all other reasonable duties commensurate with the graded.
Health & Safety:
- Manage and act upon reports any incidents, accidents or dangerous occurrences
- Develop and ensure risk assessment remain up-to-date and appropriate
- Ensure you are fully aware of how to use equipment before proceeding
- Ensure health and safety management system is maintained
Environmental Responsibilities:
- Ensure Environmental management system is maintained
- Ensure you are fully aware of how to use equipment before proceeding
- Ensure wastage is kept to a minimum (i.e. switch off equipment, lights and reuse where possible)
- Plan work to avoid unnecessary wastage
Staff Support:
- We will recruit, manage and develop all employees within the Department by setting priorities, as well as ensuring the achievement of performance standards.
- We will ensure all employees receive regular support and supervision, annual appraisals and performance assessment.
- We will ensure that all matters of discipline, poor performance and capability are dealt with in accordance with our internal policy and procedures.
- We will ensure that the training needs of all employees are regularly assessed and that the required training is delivered.
General:
- Contribute to the forward planning business processes and participation in specific project work as required.
- To observe the highest possible standards in relation to confidentiality and the provisions of Data Protection legislation.
- To undertake any other duties as are reasonably requested from time to time.
Skills & Abilities:
- Excellent interpersonal skills and the ability to communicate well with tenants, residents, landlords, local authorities, external contractor's colleagues and management both verbally and in writing.
- Excellent IT skills including ability to use Microsoft Word and Excel Numerate with good analytical skills and communicate with clear written instructions.
- Able to lead, self-motivate and supervise your own work schedule to achieve targets and a high standard of service.
- Able to understand policies and procedures in relation to your duties and responsibilities.
- Able to analyse statistical and other information, and to produce reports when required.
- Able to plan and prioritise to your work load to ensure the effective use of your own time and that of other staff, and the delivery of work plans to timetable, often under pressure.
- Able to write accurate correspondence and reports.
- Able to introduce with ease the implementation of new services or improvements to existing services.
