JOB DESCRIPTION:

Commercial Administrator required for a Facilities Management company based in Manchester. This is working on a large commercial site and will be reporting to the Commercial Manager. This is initially a temporary role however could lead to a long term position for the right candidate. Must have commercial administration experience for this role. Facilities Management/Building Services experience is desirable.

The working hours for this role are 8am - 4.30pm (40 hours per week). Can start at 7am - 3pm if preferable.

Daily responsibilities will include:

? Provide the Commercial Manager with regular Commercial performance
? Assure all non-compliance identified is assessed appropriately and plans are developed on achieving compliance.
? Management of subcontractors from a commercial perspective
? Attend supplier meetings to conduct audits, resolve queries, and review best practice as required
? Follow the Commercial procedures, internal governance, risk assessments & method statements (RAMS) and workflow diagrams aligned to Best Industry Standards.
? Support Lifecycle Team to ensure a Commercially viable operating model.
? Ensure where practicable compliance with all existing and all statutory regulations such as HTM's and CDM in Commercial activity, and report where Non-Compliance Risk is managed.
? Develop long term strategic Commercial plans to implement organisational objectives for the contract
? Support Financial and commercial management of the lifecycle funds and budget and rechargeable defects

*Processing subcontract orders

* Ordering materials
* Commercial review of Maximo data and evaluating potential applications
* Reconcile completed works to allow payment to subcontractors
* Prepare quotation and maintain trackers up to data with valid communications and costs
* Identify unnecessary costings and report
* Assist in valuations, submissions of invoices and receipt of payments
* Assist in preparation of co-operation letters to submit to lifecycle team
* Make best use of CAFM system (Maximo)
* Ordering and maintaining stock levels
* Support the delivery of contract administration throughout the project lifecycle.
* 3rd party contractors to ensure they are contractually compliant and are generating value for money. Check, verify and review rates and costs (day rates, schedule of rates, other)
* Support the Professional Services commercial function during the various stages from inception through to completion.
* Establish and maintain appropriate contract and supplier relationship management.
* Attend progress meetings
* Understand Performance Indicators

  • Education, Qualifications and Experience:
  • Previous experience working in commercial administration
  • Strong computer skills - Excel & Word
  • Excellent communication skills
