My client, a leading property and construction consultancy involved with key projects across the UK, are seeking a highly organised and motivated Team Administrator to support four business partners in their Liverpool Street office.
You will work closely with the Business Partners, delivering effective and comprehensive administrative and technical support for the London team as a whole.

Duties

  • Providing administration support to the business partners and formatting of minutes, presentations, submissions, bids, reports in the standard format
  • Maintaining diaries, ensuring coordination across multiple accounts, arranging/coordinating meetings, booking meeting venues, making travel arrangements
  • Tracking and progress chasing the completion of actions from internal and partner meetings.
  • Tracking and prompting client engagement, keeping client contacts up to date
  • Providing general support to the technical team, including electronic calendar invitations and preparation (as required) and issuing of presentations, submission documentation, reports, minutes, contract documents, cost plans, cashflows and invoice trackers etc. in the standard format.
  • Facilitate (Event Planning and Management) for informal and formal meetings/events/functions specific to the London office.
  • Assisting the Marketing team with events/functions and the upkeep of contact database
  • Supporting with implementation of the Quality Management System; folder structure, templates, filing.
  • Arranging trains and hotels for colleagues
  • Assisting with external phone calls, liaising with contacts and taking messages
  • Supporting the incoming and outgoing post, including special delivery items and couriers using relevant documentation/procedures
  • Organisational duties and archiving for the team as a whole.
  • Tracking fee projections and ensuring timely issue of invoices
  • Populating schedules, trackers and managing data collection including logging any new information
  • Office management: maintain an organised office environment (IT systems, Kitchenware, Facilities…) and manage supplier relationships
  • Meet and greet guests from the reception area and manage the internal booking system for meeting rooms


Requirements

  • Previous experience as a team administrator or office administrator within property or construction
  • Strong communication and presentation skills
  • Highly adaptable and ability to work in a fast paced environment
  • Pro-active and organised self-starter



Hours: Office based Monday to Friday, 7.5 hours per day that can be completed anytime between 8:30am and 6pm (e.g. 8:30am to 5pm, 9am to 5:30pm etc.) some flexibility required if meetings scheduled.
