Location - Stepps, Glasgow

The opportunity
Kier Construction Scotland & North East is looking for an Administrator who will report to the Office Manager. The successful post-holder will be responsible for providing administrative support to operations and management team.

4 Projects
  • Keep templates current, this includes file structure, security groups and permissions
  • Set up projects
  • If NEC3 contract, Contract Manager toolkit is also required to be set up, includes liaising with PM to gain accurate list of all DT and client members who need to be given access to correct forms. Request for PO to be sent to indirect procurement before 4P will give access against a project.
  • Send out invites to a project, ensuring that individual is assigned to correct security group
  • Training - internal and external as required
  • Protocol document - currently still a work in progress. As a BU we are planning on having a generic protocol document and then having project specific where there are specific requirements on a project.
  • Further investigation required into naming conventions on 4P if we are adopting BS1192. Liaising with Head of Design & BIM Manager.
  • Closing down of projects - this needs to be looked at as currently there has been no process for closing down projects therefore anyone that has had access to a project still has access to it. Smaller projects should potentially be closed down with all information downloaded and moved onto kierdoc together with a full copy of activity logs for the project.
Kierdoc
  • Setting up/updating templates
  • Setting up projects and assigning participants
  • Outlook users have difficulty in viewing items if a folder contains more than 256 items. Reports should be run to search for these folders then broken down into sub folders and items moved.
  • Training as required
  • Reorganisation/moving items due to user not filing correctly.
Relief Reception
  • Reception cover for lunch hour, tea break and holidays.
  • Arrange tea/coffee/ lunches for meetings in conjunction with receptionist.
  • Book travel / accommodation for staff when covering reception.
  • Open, sort, scan incoming mail when covering reception.
Expenses
  • Weekly paid staff expenses as required
ID Badges
  • Production/printing of ID badges for office/sites as required.
Sharepoint
  • Ownership of the new document management system which is being rolled out. All departments should be using the system from estimating through to project team.
  • Assigning participants
  • Training of individuals as/when required.
MyKier page
  • Collate information and regularly update MyKier page.
Server
  • Project information needs to be cleared from the server and all information should be moved across to Livelink.
Archiving
  • Glasgow office spreadsheet is kept updated.
  • Iron Mountain system is maintained in tandem with the system above
  • Ordering archiving supplies from Iron Mountain for the Glasgow office.
  • Review of archiving procedures for all SHEA files coming from site. Due to the 10 and 40 year rules new procedures will need to be put in place and disseminated to all sites.
Ad hoc duties
  • General administration duties as / when required.
  • Printing - drawings, reports etc.
  • Binding documents etc.
  • General queries on "how to …", converting pdfs etc.
