Introduction: Kier Eastern is looking to recruit an Administrator on a 12 month maternity cover, who will report to the Head of Design. The successful post-holder will be responsible for providing administrative support to the Design department, and other Pre-Construction teams.

Key Responsibilities:
  • Manage and record all consultants who have been approached and provided a fee proposal for projects / tenders
  • Chase feedback forms for Consultant Performance from Design Managers and collate
  • Maintain and update the supply chain details for the Head of Design
  • Arrange access for new starters and set up folders for new projects in 4P
  • Provide document control for projects in pre-construction
  • Maintain fire risk assessments for all projects
  • Chase and collate all bid review documents and print and bind packs each month
  • Undertake desktop research for up and coming tenders / check planning portals
  • Obtain documents from Design Manager and send out to consultants
  • Input fee proposals onto fee schedules and present to Design Managers
  • Obtain designer competence forms and save on projects drive
  • Obtain insurance certificates (as directed by Design Manager) save and keep register
  • Monitor signed off appointments through procurement department and chase documents to be signed and returned to Kier. Ensure registers are up to date
  • Manage diary's, book meeting rooms, send out invites, take meeting minutes if required
  • Once holiday forms are signed off input on to the tracker and keep up to date
  • Format and print off 12 copies of the resource chart every fortnight for pipeline meeting
  • Obtain sickness/absence forms and ensure they are recorded on chart
  • Build an interactive People Plan for the Design Management dept, and maintain
  • Arrange new IT and get ready for new starters
  • Obtain new starters sizes & requirements - Order PPE in time for first day
  • Arrange for new starters to attend / fob / telephone / desk / Buddy etc
  • Collate design experience and maintain tracker / feed info to management
  • Keep Design Managers induction pack up to date
  • Manage training tracker for all design managers keeping track of attendance records
  • Arrange site visits for Graduates and Assistants
Key Skills and Qualifications:
  • Good standard of education
  • Previous administrative experience
  • Must be IT literate with understanding of Microsoft Word and Excel
  • Efficient and professional approach with the ability to multi-task
  • Possess strong communication, organisational and time management skills
  • General willingness to be helpful, enthusiastic and flexible
  • Able to work as an individual and as part of a team
