Document Controller Location: Northern Region - Manchester Kier Highways Major Projects are looking to recruit a Document Controller to join the Framework team; they will ultimately be assigned to one of the schemes. The role will initially be based in our Central Manchester office with travel to meet the design teams, client and project delivery. This will lead to a site-based role. The role will initially involve working with the professional services team offering constructability, methodology and value management input, then feeding in to the development of target cost programme and price before moving in to site-based role. Key Responsibilities:
  • Work to and understand the Client needs and expectations and support the development and implementation of the Framework and Scheme Strategies to ensure that objectives are met.
  • Responsible for demonstrating a personal commitment to ensuring that Kier Safety, Health and Environmental Management System (SHEMS) is being implemented.
  • Responsible for demonstrating a personal commitment to implementing the quality management system and attainment of the Framework and Scheme targets.
  • Support with establishing and maintaining an agreed document management and filing systems in consultation with the project team.
  • Copy, scan and upload documents to electronic DMS within the agreed timescale or sooner if requested. Checking the information on receipt for compliance with document control protocols.
  • Track all incoming and outgoing project documentation, including logging in registers and issuing document transmittals.
  • Issue documents and information via electronic DMS as directed.
  • Manage the receipt and upload of design deliverables and resolve any queries with the Design Manager and designers.
  • Monitor and analyse information being uploaded to electronic DMS to ensure that it has been uploaded in accordance with the filing protocols.
  • Provide and remove access to electronic DMS in accordance with protocols unless otherwise directed by a member of the Senior Management Team.
  • Support with the delivery of training on the electronic DMS to ensure that all team members and any others requiring access to the systems receive training and record attendance.
  • Visit other offices to ensure filing systems are being maintained and to collect records / documents for upload to electronic DMS as directed.
  • Assist with the production of reports on the status of documents, e.g. TQs.
  • Assist with developing, maintaining and improving systems and processes to ensure document control and system compliance.
  • Support in the co-ordination of handover documentation timely and to 'right first time' standard.
  • Provide cover and support for other members of the team as requested.
  • Work as a collaborative member of the Kier team - facilitate the sharing of knowledge and best practice to the wider Kier team.
  • Maintain responsibility for own performance, continually developing skills and knowledge.
Essential:
  • Experience of document management systems, e.g. 4Projects, Business Collaborator
  • Administrative and organisational skills
  • Strong IT skills, in particular Excel and Word.
  • Has experience working within construction, and working on a site desirable
