The Document Controller is crucial in ensuring the efficient management, organisation, and distribution of project-related documents. The successful candidate will play a key role in maintaining the accuracy, integrity, and security of project documentation.
Key responsibilities:
* Oversee the management, organisation, and distribution of project documentation to ensure efficient document control processes.
* Implement and maintain document control procedures and standards to ensure compliance with company policies and industry regulations.
* Manage and track project documentation, including drawings, reports, specifications, contracts, and correspondence.
* Maintain an organised filing system (both electronic and physical) to ensure easy retrieval of documents when required.
* Ensure version control is properly maintained, preventing unauthorised or outdated documents from being used.
* Coordinate with project managers, site teams, clients, and subcontractors to facilitate the smooth flow of documentation.
* Ensure all project documents are reviewed, approved, and distributed in a timely manner.
* Conduct regular audits to verify the accuracy and completeness of documentation.
* Assist in the preparation of reports and documentation required for project meetings, audits, and compliance checks.
* Provide training and support to staff on document control processes and systems.
Required skills & experience:
* Proven experience in a document control role, preferably within the construction, fit-out, or engineering sectors.
* Strong knowledge of document management systems and procedures.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document control software.
* Excellent organisational and time management skills, with the ability to handle multiple tasks simultaneously.
* High attention to detail and accuracy in managing project documentation.
* Strong communication skills, both written and verbal, with the ability to liaise effectively with internal teams and external stakeholders.
* Ability to work under pressure and meet deadlines in a fast-paced environment.
* Knowledge of industry standards and compliance requirements related to document control.
