Our client an award winning Irish company are currently recruiting an Executive Team Assistant to join their team.

Relationship

Report to:

· CEO

Responsible for:

· Effective organisation of various activities

· Project management, understanding competing priorities

· Delivering high-quality results

Relationships with:

· CEO

· Internal and external affiliates to CEO including Executive Team

Key Responsibilities

  • High volume email management incl. management of highly confidential and sensitive correspondence
  • Liaising with executive team on project deliverables and schedules
  • Liaising with clients to provide updates on delivery commitments
  • Manage project correspondence, trackers and reporting
  • Track and maintain document control and dashboard reporting on behalf of the CEO
  • Plan, coordinate and ensure project schedules and timelines are followed and respected
  • Market research / Benchmarking : Research and concise presentation of s
  • Assemble and maintain a database of all contacts and develop good working relationships
  • Administration of utility bills of various properties
  • Responsible for note taking at all assigned meetings to include: executive team meetings, board meetings, shareholders meetings.
  • Preparation and circulation of records such as agendas, notices, minutes, actions, and resolutions for meetings
  • Internal and external client meetings facilitation (primarily through MS Teams)
  • Management of confidential professional calendars
  • Gatekeeper duties i.e. screen and direct phone calls, distribute correspondence
  • General administration duties (create & maintain paper and online systems including data management, point of contact)
  • Prioritise tasks of a sensitive or confidential nature and determine the best course of action
  • Flexibility for any other duties as required

Skills

  • Exemplary planning and time management skills
  • Proven ability to manage and prioritise a flexible schedule and workload
  • Outstanding verbal, written, and interpersonal communications skills
  • Highly proficient at Microsoft Office Suite including Teams, Excel, and Project
