Location: Flexible working available, where you will be based out of our Rushden our Loughton office with home working available and some travel to other offices and sites 2-3 days a week
Business Area: Kier Places - Facilities Management - Corporate Estate
Contract & hours: Permanent, full time, Monday to Friday, 40 hours per week
Kier Places are recruiting now for a Facilities Coordinator to join our Corporate Estate FM team looking after the EKFB (Effiage Kier Ferrovial BAM) HS2 Joint Venture contract, based from our Rushden or Loughton office, where you will be responsible for planning, coordinating, and administering the day-to-day business & finance activities of the EKFB estate, which is made up of a variety of offices and compounds across Northamptonshire, Buckinghamshire & Oxfordshire, to ensure smooth running of the Facilities Management Operation.
Key Responsibilities
Collaboration is key to being a Facilities Coordinator with Kier FM - you can expect your day to include liaising with the client, helpdesk, sub-contractors, and operational staff to ensure that reactive and planned maintenance activities are delivered; reviewing maintenance task progress in both client and Kier helpdesks; maintaining work, costs, schedule, compliance & other output trackers; and working with financial systems and information, including Excel spreadsheets, raising Applications for Payment, Purchase Orders & monthly invoices, receipting Goods, maintaining timesheets, and Purchase Card administration.
As a trusted and focused Facilities Coordinator, we'll look to you to take responsibility for maintaining and producing work orders and schedules, request forms, management information forms, other various documents, and circulate as required; maintaining subcontractor information and issuing Authority to Work where required; managing WIP (Work In Progress) to ensure timely processing of invoices; monitoring and recording contract costs, comparing to business and contract plans and schedules and alert management of discrepancies; providing written quotations to client for replacement or additional works; and assisting with budget preparation & monthly client reports.
Just as importantly, you'll need to have daily liaison with the maintenance operatives, and respond to written and verbal or requests for information. Such other duties relating to operational support as may be necessary from time to time in accordance with established local practice or with the reasonable requirements of the Client, Customer and or Facilities Managers.
What do we need from you?
The ideal Facilities Coordinator will have previous experience in Coordination, Scheduling or Planner roles - experience within Facilities Management or Construction would be a bonus. You should have the ability to work within a fast-moving environment whilst ensuring accuracy of all data; a good customer service focused manner & ethos; and bring with you the ability to deal with budgets, a great understanding in Microsoft Office, especially Excel, and high levels of administration skills.
