Head of Project Management

Surrey Translation Bureau wishes to appoint a Head of Project Management on a full-time basis with a minimum of two days on site at its offices in central Farnham.

This is a great opportunity to join a busy translation office and friendly team. You will head up the PM team, reporting to the Head of Operations.

Management responsibilities

  • Line manager for the PM team
  • Conducting regular 121s, quarterly goal setting and annual performance reviews
  • Point of escalation (after Senior Project Managers) for queries and client or project concerns within the team
  • Scheduling PM team monthly meetings
  • Monitoring and management of team workloads, performance and productivity
  • Identifying and resolving workflow issues and optimising procedures
  • Providing a team update at the monthly company-wide meeting
  • Identifying and driving team growth, including setting team-wide objectives/ISO objectives
  • Recruitment of team members and co-ordination of their ongoing training

Cross-department responsibilities

  • Collaborating with other Production teams (Resource Management/Operations/Translation) and attending monthly production update meetings
  • Supporting Sales team on large, urgent or unusual quotations and consulting on planning and implementation
  • Supporting Account Managers with account monitoring and bi-monthly meetings

Core PM duties

  • Dealing with customer enquiries and producing quotations in a timely fashion
  • Organising and running multiple translation projects for various clients
  • Meeting deadlines
  • Preparing files for translation and assessing suitability for service
  • Selecting and assigning translation teams and liaising and negotiating with suppliers
  • Carrying out detailed quality control checks on files pre-delivery
  • Setting up and maintaining translation memories, termbases and reference material
  • Taking responsibility for budgets, including raising clients' invoices and approving freelancer costs
  • Working alongside account managers to maintain and grow relationships with existing clients, and create new client relationships, inc. visiting clients as and when required

Linguistic duties

  • Assessing quality of supplier output on an ongoing basis
  • Editing and revising translations

Education/experience and skills required

Applicants must meet one of the following criteria and also hold a minimum of five years of project management experience and at least two years in senior role (ideally with line management experience) from previous employment:

  • Hold a recognised graduate degree in translation
  • Hold a BA degree or equivalent in one or preferably two other languages

Additionally, candidates should:

  • Have excellent business English
  • Be fluent in at least two languages
  • Be committed to quality and attention to detail
  • Be able to multi-task and work under pressure
  • Demonstrate excellent communication and interpersonal skills
  • Show initiative and good commercial sense in decision-making
  • Have excellent IT skills, with advanced knowledge of Microsoft Suite products, CAT tools and translation management software, including experience using Outlook, SDL Trados, Microsoft Office and ideally Across and Plunet BusinessManager
