Helpdesk Customer Service Advisor

Location: Onsite at Northfleet Technology College, Northfleet

Business Area: Kier Places - Facilities Management - BSF Kent Schools PFI

Contract & hours: Permanent, full time, Monday to Friday, 40 hours per week

Kier Places are recruiting now for a Helpdesk Customer Service Advisor to join our Facilities Management team at Northfleet Technology College on our BSF Kent PFI contract, to support the soft, hard & technical FM service delivery across 3 schools in the Gravesend & Northfleet area, including Northfleet Technology College, St John's Catholic School, and Thamesview School.

This position is key to the operation an FM helpdesk service to three secondary schools, in which the main aim of this role is to ensure that all work requests are logged & managed on the Concept CAFM system, support the service delivery of these works efficiently, in budget & safely, and to provide administration support to client & Kier stakeholders which may involve reports, timesheets, purchase orders, and online filing systems.

Key Responsibilities

As a focused Helpdesk Advisor with Kier FM, you'll be responsible for managing the status of all works to the contractual & statutory requirements; managing & arranging planned preventative maintenance (PPMs) and additional works in an efficient, profitable and safe manner; and assist in ensuring a safe working environment at all times by correctly reporting any health & safety incidents or hazards.

Working collaboratively with all stakeholders, you'll act as a first point of contact to deal with in-person & online enquiries; support the management team to ensure effective utilisation of labour, materials, plant and equipment; procure materials using the 'Preferred Supplier's List'; managing & updating the additional hours for the schools ensuring the appropriate cover is organised (e.g. parent teacher meetings); and liaise with the client & school for required authorisations.

Just as importantly, we'll trust you to produce monthly CAFM reports, collate & process timesheets, raise purchase orders, and maintain up to date & accurate documentation systems including contractor information, certificates, training, risk and method statements (RAMS).

What do we need from you?

This is your opportunity for the taking, if you have - good timekeeping skills to respond to the fast nature of FM; a professional approach at all times with effective communication & relationship skills to work with all levels of stakeholders; a team-focused focus with the ability to work on own initiative to a high level of accuracy, and to meet deadlines; and the ability to generate, develop and present ideas and suggestions for improvements in order to achieve more effective working practises.

We're looking for someone who has previous experience with document management / facilities management software, (we use FSI Concept Evolution); good IT literacy with Microsoft Office suite, particularly Excel & Outlook; and demonstrable accurate data entry skills with excellent attention to detail.

It would be beneficial if you have experience in a similar fast-paced administration or helpdesk role, a previous background in Facilities Management, and an understanding of compliance.
