Title: Management Assistant

Location: Falkirk

Kier Utilities are looking for a strong minded, forward thinking and organized individual who can assistant our teams and managers to achieve there set goals.

Role & Responsibilities

  • Accurately record Senior Management Team (SMT) movements and maintain an effective diary system
  • Attend meetings and draft minutes as required by the SMT
  • Provide administration support for SMT led projects and change initiatives
  • Provide cover for SMT telephones while they are out of office or away from desk
  • Prepare Presentations in conjunction with or other members of the management Team
  • Any other administrative duties required by the SMT
  • Collation of Monthly Reports / Statistics / as required by SMT
  • Responsible for the organisation of meetings for the SMT, to include booking rooms, Lunches, Refreshments, IS/IT Support, Documentation, etc
  • Responsible for all SMT Travel Bookings including flights, hotels etc
  • Responsible for the accurate recording and tracking of purchase orders and timesheet information
  • Responsible for accurately sorting, recording and distributing the Regional Support Office Incoming and outgoing hard copy correspondence
  • Approval of orders for the provision of stationary and other consumables
  • Responsible for the maintenance of contact information
  • Photocopying, Filing, Shredding, laminating as required by SMT
  • Other duties require by the Senior Management Team
  • Ensure compliance with all contract and corporate matters
  • Manage and discharge all Health, Safety and Environmental responsibilities

Keys Skills and Qualifications:

  • Discrete and comfortable dealing with confidential information, consistent and loyal approach, with attention to detail and excellent organisational skills
  • Ability to communicate at all levels
  • The ability to be patient with managers and have a customer focussed service/supportive approach
  • Ability to develop and maintain good working relationships at all levels
  • HNC Level or equivalent / above in Administration and Information Management, with relevant experience support Senior Management
  • Experience in supporting senior management teams
  • Experience of supporting managers of all levels with their admin requirements
  • Experience of working in a busy office environment
  • Working to tight deadlines and juggling numerous tasks at a time
  • Experience working with Microsoft Packages
