Role Overview

Breedon are currently seeking an Office Administrator based at our Uddingston Regional Office. You will support the PA to provide an effective, professional and flexible administrative service to our Senior Management Team and Uddingston Regional Office.

Key responsibilities include but are not limited to:

  • Support and assist the PA with travel arrangements, diary management and processing of expense claims
  • Arrange meetings and events which involve arranging dates, catering facilities, booking of rooms, booking of flights and informing attendees of arrangements and distribution of confidential papers and agendas
  • Check all emails and reply/forward as appropriate
  • Take minutes at confidential meetings on an ad hoc basis
  • Set up conference calls (voice and video)
  • Assist with weekly and monthly reports
  • Manage the Reception area and Switchboard
  • Assist with office Health & Safety ensuring the business is compliant
  • Create Purchase Orders, follow up, issue and deliver when job completed
  • Manage the incoming and outgoing mail
  • Be responsible for all office stationery and supplies
  • Ensure that all office equipment, other than IT, is fit for purpose and organise maintenance and servicing in a timely fashion
  • Respond promptly to any issues or matters raised from employees with respect of the office environment
  • Provide back-up support to other departments when required.

Requirements of the role:

  • Experience of working in an office environment
  • Experience and understanding of customer service principles and practices
  • Computer literate in MS Office and Outlook
  • Strong interpersonal & communication skills demonstrating excellent listening skills, attention to detail and accuracy
  • Proactive communication, both written and verbal
  • Experience of working with Senior Stakeholders, with the ability to build strong professional relationships.
