A fantastic opportunity for an experienced office coordinator to join the growing Forsa team. Reporting to the Office Manager, the role is interesting and varied, ensuring the Greenock Office is run smoothly whilst supporting the team and operation of the wider business.

About Forsa

Forsa Energy was formed in 2010 to develop, construct, own and operate Renewable Generation, Gas Generation and Energy Storage assets across Europe. The platform has been specifically set up to capture the market opportunity presented by the shift away from large-scale centralised conventional power generation energy towards smaller-scale decentralised flexible power generation combined with the emergence of economically feasible energy storage. In 2018 the renewable energy assets were sold and the business now focuses on flexible gas generating assets, batteries and other complimentary assets.

Key Responsibilities

  • Managing the office and ensuring it runs smoothly. This will include health & safety, fire and risk management
  • Liaising with lead employees across shared offices (Edinburgh, London, and Kirkby Lonsdale) to ensure appropriate company policies and standards are shared across all locations
  • Organising companywide events
  • Manage interface with landlord
  • Meeting and greeting visitors
  • Preparing for meetings, organising catering and set-up
  • Ordering and maintenance of office supplies and IT equipment, managing office suppliers and contracts
  • Managing the IT interface with the IT support company, with overall responsibility for communicating IT procedures and policies
  • Developing and implementing new office and administrative systems, ensuring procedures are communicated to the team
  • Onboarding of new employees, ensuring everything is organised in advance of their start date
  • Annual leave records management, travel organisation
  • Coordinating site visits and meetings
  • Minute taking at meetings, document control and file management
  • Website maintenance

About you

We are looking for an experienced and highly organised office coordinator. As part of a small team you'll need to be a strong team player with bags of initiative. You'll also need a flexible approach and be a strong relationship builder.

  • Experience in a similar office administrative role is essential
  • Excellent organisational and communication skills
  • Excellent attention to detail
  • Proactive, flexible, can-do attitude
  • Proficient in Microsoft Office 365
  • SharePoint experience preferred
  • Clean driver's licence with own car
  • Candidates must have the right to work in the UK
