Location Godstone, Surrey

Kier Infrastructure UK is looking to appoint a Project based Office Manager to be responsible for the management of specific project site offices, facilities and support services.

Responsibilities:
  • Management and maintenance of the project site offices and the surrounding environment
  • Management of Project and office security and vetting applications for site team and temporary visitor clearance, where applicable
  • Implementation and support of the IT connectivity and services provision
  • Management of office safety procedures, including scheduled testing of fire safety systems and ensuring adequate Fire Marshals and First Aiders are appointed and available
  • Allocation of work space and office arrangements for new personnel
  • Control and maintenance of office consumables and office services
  • Establishment and maintenance of the project consumables storage areas
  • Administration support to all areas of the project
  • Supporting the delivery of office inductions for new personnel and ensuring DSE assessments are carried out
  • Management of site deliveries and booking in procedures, where applicable
  • Responsible for the establishment and maintenance of the Kier Infrastructure Administration procedures
  • Responsible for the entering of Goods Received Notes into the Project finance system
  • Checking of Project costs on a weekly and monthly basis
  • Responsible for Invoice matching, where applicable
  • Ad-hoc management reporting and information
  • Establishment & maintenance of the Project Document Control system
  • Establishment and maintenance of the Project Time and Attendance system
  • Responsible for the production of Payroll information for weekly paid staff and operatives
  • Responsible for the production of Payroll information for monthly paid staff
  • Responsibility for the sourcing, recruiting and training of additional Project administrators, where applicable
  • Keys Skills and Qualifications:

    • Facilities management experience on multiple sites - office moving: setting up and winding down of facilities and services
    • Experience of construction site environment is preferred
    • Computer literate with a good working knowledge of Microsoft packages
    • Knowledge of the Construction Industry Joint Council Working Rule Agreement for the Construction Industry
    • Knowledge of Document Management systems
    • Knowledge of Time and Attendance systems
    • Knowledge of Finance systems
    • First Aid and Fire Safety Awareness

    Additional Requirements:

    • You may be required to complete and pass a Pre Screen Drug & Alcohol Test and Medical questionnaire / fitness for work medical.
