Sales & Lettings Office Coordinator - St John's Wood - £30,000 to £35,000 Dependant on Experience

I'm working with a high-end residential estate agent on their search for an experienced Office Coordinator to support their dynamic Sales and Lettings teams. This is a crucial role for their team to ensure smooth day-to-day operations while maintaining the exceptional standards the brand is known for.

We're looking for someone with a proactive mindset, a can-do attitude, and a genuine passion for supporting teams to achieve their branches goals.

Key Responsibilities

  • Maintain high standards of sales and lettings records, ensuring all documentation is accurate and up to date.
  • Provide administrative support to the Sales and Lettings teams, including managing diaries and scheduling appointments.
  • Run and monitor AML checks for all sales and lettings transactions to ensure compliance.
  • Greet clients, answer phone calls and efficiently direct enquiries to the appropriate team members.
  • Handle invoicing, drafting sales contracts and letters as required for sales and lettings transactions.
  • Woking with the Marketing team, book photography and video shoots for properties to showcase listings at their best.
  • Copywriting for property listings.
  • Launching properties.
  • Act as the first point of contact for reporting IT issues within the Sales and Lettings teams.
  • Assist with the onboarding process for new employees in the Sales and Lettings departments.
  • Manage CRM system updates and ensure data is accurate, ensuring sales and lettings progress can be tracked effectively.
  • Populate templates and work with suppliers to book letter and flyer canvassing campaigns.


Skills and Experience

  • 2 years' experience working in a sales or lettings environment within the estate agency industry is essential.
  • A high attention to detail with excellent organisational skills.
  • A proactive approach to managing tasks and problem-solving, ensuring smooth team operations.
  • A bright and welcoming manner with strong communication skills and the ability to engage with clients and colleagues alike.
  • Ability to work autonomously while being part of a collaborative team.
  • Flexibility, with the ability to adapt to different responsibilities across the Sales and Lettings departments.
  • Proficiency in MS Office Suite, Adobe PDF and Adobe InDesign (not essential).
  • Familiarity with Rex (not essential).


Salary: £30,000 - £35,000 Depending on experience
Hours: Monday to Friday 9am - 6pm (Full time in the office)
Location: St John's Wood
