This role will be responsible for providing professional secretarial and administrative support to our Regional Managing Director as well as the day to day management of our regional office in Stafford Park, Telford.

Key Responsibilities:

  • Carry out basic office management activities for a small office, ensuring office procedures are established and maintained, including the booking of meeting rooms, hot desk availability, hospitality arrangements and video conferring facilities.
  • Management and control of the Regional Managing Director's diary, including the booking of meetings, travel, accommodation, and other business commitments as necessary. Diary responsibility will also include the tracking of acceptances and declines for internal and external meetings.
  • Act as first point of contact providing a professional front of house service, including dealing with incoming inquires. Ensure all calls are answered in a professional manner, messages are taken accurately and passed on timely and appropriately.
  • Carry out regional administration activities as required, these duties will include, but are not limited to acting as liaison between our management team, creating and managing purchase orders, issuing invoices, managing inventory, managing internal filing systems.
  • The planning, coordination, and monitoring of day-to-day reactive and planned maintenance work to the office facilities, including controlling appointed contractors visiting the site to undertake works.
  • Ensure that all reasonable requests received from clients and internal personnel are carried out in a complete, accurate and timely manner and that they are kept informed of work progress and status where necessary.
  • Key Knowledge, Skills & Experience:

  • Strong experience of Microsoft packages
  • Ability to manage competing priorities and deadlines.
  • This role will be expected to deal with sensitive and confidential information where discretion and trust are essential.
  • Able to manage own workload and demonstrate effective time management
  • Proactive attitude, able to work in a team environment (virtually and in person)
  • Highly motivated and driven, has high standards, attention to detail and is attentive to clients, colleagues, and business stakeholders
  • Strong and effective written/verbal communication skills
