What You'll Be Doing Be part of our client's team as a
Planning Support Assistant, where you will streamline the preparation and management of legal documents, follow up with clients for information, organize electronic matter folders, manage emails, and provide crucial administrative support that ensures accuracy, efficiency, and smooth legal operations.

Your Skills and Experience
Minimum of 3 years' experience in administrative or office support roles; experience in legal, accounting, or professional services highly regarded
High accuracy and attention to detail, particularly with names, dates, and legal capacities
Strong Microsoft Office skills (Word, Outlook, Excel) and confidence using document or matter management systems
Comfortable learning new software, including legal practice management systems, ASIC portals, and e-signing tools
Excellent written and verbal communication skills
Strong organizational skills with the ability to manage multiple matters and deadlines

Able to follow instructions carefully and work within established procedures
Maintains strict confidentiality and exercises sound judgment
Willing to learn and develop an understanding of legal processes and documentation
Your Daily Impact Legal Document Preparation & Applications
Complete standard legal templates, forms, and applications (e.g., company/trust documents, ASIC forms, engagement documents, agreements)
Enter client and matter details accurately into legal precedents, portals, and document systems
Check documents for completeness (names, dates, addresses, capacities, signatures) before sending for review
Prepare signing packs, including covering emails/letters and instructions, for physical or electronic signature
Client Information & Document Follow-Up
Email clients to request required information, IDs, and supporting documents
Maintain a checklist of outstanding items for each matter and follow up as needed
Record all follow-ups and responses in the matter file or practice management system
Escalate delays or missing information that may impact deadlines or lodgments
Matter Folder & Document Management
Create new matter folders using firm naming conventions
Save and file documents promptly into the correct matter folder (PDFs, Word, emails, signed copies, searches)
Ensure correct version control of documents (draft, final, fully executed)
Scan, convert, and label documents for electronic storage
Maintain document precedents libraries as directed
Email & Inbox Management
Monitor shared inboxes (e.g. "legal@…", "docs@…", "setups@…") and allocate emails to the relevant lawyer/team member.
Send basic responses to clients using approved templates (e.g., acknowledge receipt, request information, confirm lodgment)
Flag urgent or time-sensitive emails (e.g., settlement dates, ASIC deadlines, signature requests)
File and categorize emails into the appropriate matter folder or system
Compliance & Confidentiality Support
Handle client information and documents in line with confidentiality and privacy requirements
Follow internal procedures regarding conflict checks, ID requirements, engagement processes, and file closures
Generate simple reports or checklists (e.g., matters awaiting signature, pending lodgments)
Support the broader team with general administrative tasks as required
