Ardmore Group is seeking for a Project Administrator to join our team and contribute to the completion of our prestigious sites in Lewisham. The ideal candidate with an experience of drop box & field view, good reporting, record keeping ability and able to work under pressure.
We required have knowledge of SMART waste, 4 Projects system, BREEAM, MS office 2016, NVQ Level 2 in Business & Administration and previously working with an engineering or construction company.
The role is to ensure that all project documentation is up to date, available and easily accessible by the Project Team. You would be responsible for ensuring that the Project Team are informed of updated information as it becomes available. You would also be responsible to keep various trackers and documents up to date and compile the Handover Documentation (H&S Files).
Key Areas of Responsibility:
Collectively provide and carry out the role of the Company Reception phone system team when the HO Receptionist is not available. All full-time site administrators will be logged onto the 3CX Q system at all times, and collectively will ensure all calls for the company are received as and when required.
Provide administrative support to site-based project team (including Project Managers, Site Managers, Quantity Surveyors, Design Managers, Engineers, M&E Managers, H&S Managers etc.) including typing, letter writing, photocopying, scanning, filing, printing, compiling reports, typing up meeting minutes, material requisitions etc. Ensure the smooth running of the site office:
- Answer the phone and take detailed messages
- Meet and greet guests and visitors,
- Manage meeting room bookings,
- Set up meeting rooms for meetings (i.e. arrange snacks and refreshments when it's requested),
- Monitor and order stationary,
- Ensure that site offices always look smart, clean and tidy.
- Liaise with Design Team and Site Team to receive various reports in a timely manner,
- Ensure that progress photos are taken on the construction site,
- Provide tracking status reports,
- Compile Monthly Progress Reports and ensures that it's approved by the Project Manager,
- Arrange reproduction of the approved report.

- Strong experience using 4 Projects-
- Level 2 in Business and Administration or equivalent
- Office 365 (Outlook, Word, Excel) - Intermediate level
- Practical skills in minute taking
