The Job:
The Administrator will work closely with the Service Team to support all activities. The service administrator will be the first point of contact for internal and external customers seeking support and information.
The ideal candidate will provide administrative support to the office and primarily the operations leader to manage office functions including: Work Order co-ordination, parts ordering, schedule of engineers, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services for the divisional staff.
Additionally, the Service administrator, under the supervision of the Operations Leader, will manage all outside contractors in support of the Service Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.
Essential Job Functions:
- Support the entire business function of the Irish operation.
- Assist the Service Team in all aspects of service and general admin as needed.
- Coordinate all service activities, work direction, and support systems.
- Independently maintain and update administrative policies and processes.
- Set up, maintain, and organize department's central files, information, filing, and messages.
- Assist staff and customers in sourcing and ordering parts, supplies, and materials.
- Prepare quotations and bid information.
- Manage invoices to customers.
- Manage supplier and sub-contractor invoices.
- Manage the service scheduling of engineers, including receiving work request, assigning work orders,
- Provide quotations to customers for repair works.
- Implement the new MS365 Field Service Tool.
- Support and assist with the Health Safety requirements for the Irish Operation.
- Support the overall operation of the overall Irish operation as required such as:
- Hosting customers in our offices and organising refreshments.
- Work on Reception as required.
- Assisting in marketing activities such as LinkedIn and mailshots.
Knowledge:
- Microsoft Suite of products including Excel, Outlook, Word, and PowerPoint
- Maintenance management software
Skills:
- Must have strong interpersonal skills and ability to work in a team environment.
- Responsibility for follow-up on actions based on various team projects.
- High organization and time management skills in managing multiple tasks simultaneously.
- Ability to perform and manage technically complex projects using independent judgment and personal initiative.
- Build strong internal and external relationships using effective verbal and writtenCommunication skills.
- Recognize and act on opportunities; adjust direction when situation warrants
- Work independently without regular direct supervision.
