Site Administrator

Part time - 30 hours, 4 days per week

2 year FTC

Location: Swansea Purpose: To support the site operations team by carrying out all project administration, as directed by the Project and Contract Managers Key Responsibilities:
  • Co-ordinate Inductions and manage process for head counts, thumb scanner and S Curve
  • Data entry and maintenance of logs and records, which include (but is not limited to);
    • Weekly Plant On-hire sheets
    • Plant Returns
    • Waste Transfer Notes and Fuel Tickets
    • Construction Phase Plan (CPP)
    • Fire Plans
    • Waste Management Plan
    • Sub-contractor Checks
    • Method Statements
    • Daily Labour Allocation
    • Daily Briefings
  • Collate Good Received Notices (GRN's) and submit to Head Office on a weekly basis
  • Update daily site diaries - to be proactive in chasing information from site staff
  • Using BIM Extra (training provided where necessary)
  • Collate SUSA cards and submit to group on a weekly basis
  • Produce monthly Smartwaste report for Group
  • Attend weekly team meetings and produce action notes
  • Manage site meeting room bookings, organise tea/coffee etc and any food for meetings
  • Update site progress board on a regular basis
  • Update Community Benefits Board on a regular basis
  • Act as the site 'Champion' for community engagement activities, health and wellbeing, charity events / dress down days and all company initiatives
  • Update Traffic Management Plans
  • General ad-hoc admin as required, such as; ordering stationary and consumables, typing, producing reports, presentations etc.
  • Maintain both hard and electronic filing systems within the guidelines and standards set out by Kier Construction Wales
Individual:

  • Proven previous experience as an Administrator, ideally within the construction or engineering industry
  • Proactive self-starter who can take ownership of the role and associated tasks
  • Excellent organisation skills
  • Strong communication and interpersonal skills
  • Good IT skills, particularly in Excel, Outlook and PowerPoint
  • Must have the ability to multi-task whilst managing own workload autonomously
  • Keen attention to detail
  • Professional personal presentation
