The opportunity:
Kier Scotland & North East is looking to recruit a Site Secretary, who will report into the Site Manager. The successful post-holder will be responsible for providing full secretarial and administrative support to the site based staff. Projects will cover a variety of frameworks and schemes from £5M to £50M, and you'll be working within a hugely talented operations and site team.

Key responsibilities:
- Record and report Community Benefit KPI's
- Support delivery of Community Benefit KPI's such as engaging with local educational establishments
- Minute taking
- Dealing with photocopying and distributions
- Manage the site filing system, drawings and paperwork
- Ensure all correspondence is set up on Kier headed paper and all fax sheets are as the standard with site address in the top right hand corner.
- Ensure that all correspondence is filed in Kierdoc or Conject as appropriate and filing reference sheet is completed
- Manage the drawing issues to site staff and subcontractors via work packages on 4P
- Ensure the drawing register is kept up to date
- Organise the copying of drawings if required, checking to see if they are in colour or black and white
- Typing of all correspondence when required
- Issuing of programmes to all site staff and subcontractors as directed by site staff
- Manage the telephone system, answering all incoming calls in a professional manner
- Ensure the site manager has the correct copies of all minutes of meetings etc, for any meetings he attends
- Organise sandwiches, tea & coffee for the site meetings
- Ordering of stationery and consumables for the site including photocopier, toner, fax and printers.
- Coordinate the compilation of O & M Manuals
- Carry out any other administrative duty required of the site team
Key skills and qualifications:
- Proven track record in administration
- Self-motivated individual
- Flexible team player
- Self-organised with the ability to multi task
- Excellent interpersonal and communication skills with ability to interact effectively with other members of staff
- Computer literate, especially Microsoft Word, Excel and PowerPoint.
