Studio Coordinator Job in Manhattan, New York

Studio Coordinator job with a leading multidisciplinary design firm based near Union Square, New York. The ideal candidate will have strong administration skills and an understanding of how a busy studio/office environment operates.

Established over 30 years ago, our client now has around 300 members of staff working from several offices across the US and Europe. This award-winning practice is well known and frequently recognized for its high-end projects, particularly within the hospitality sector that are located across the globe. They now seek an experienced Studio Coordinator who has previously been involved in a variety of functions such as administration, assisting with accounts, legal, and new business liaison. An interest in either architecture or interior design would be an advantage.

Role & Responsibilities

  • Assist with employee expenses and expense/billing reports
  • Invoice management and reimbursements
  • Tracking and management of contractual documents, liaising with clients and legal when necessary
  • Database management
  • Send out new business proposals and tracking/review documents
  • Assist with general office administration such as travel bookings, logistics/shipping, purchasing of office supplies, etc.
  • Management of employee absence requests and timesheet submissions
  • Assisting in the preparation of guest arrives and coordination.

Required Skills & Experience

  • 2+ years of experience in a similar position
  • Degree qualified in business studies, or similar
  • Strong communication skills both verbal and written
  • Proficient user of MS Office Suite and experience managing databases
  • Experienced at raising invoices, assisting with billings, and financial reporting
  • An interest in the architecture or interior design sector would be advantageous.
