Our North London Division is looking to recruit a Part Time Technical Administrator to join the Division’s Technical Department. The Role The Technical Administrator will report to and support the Technical Director as well as supporting the Technical team in the day to day running of the department. The successful candidate will achieve this by provision of administration support and document control functions. Principal accountabilities of the role include: Administrative Duties Creating Consultant Appointment documents & orders Raising all Consultant Appointments & Orders on to ‘COINS’ accounting system Monitoring and arranging for the renewal of Consultant Framework Agreements Sending monthly site costing reports to technical managers via COINS/SharePoint Monitoring, recording and updating Consultants PI insurance details Collating sections of Board Report for the Technical Department Updating & issuing Development Allocation Schedules Adding postal addresses/MPANS/MPRNS to individual site postal schedules Updating all technical department schedules Sending out enquires to service companies for all new land acquisitions Diary management for Technical Director & technical team, as well as Technical Department Meetings. Carrying out general office duties including typing, copying & filing Managing department holiday forms, diary & absence records ensuring they are up to date Reception cover and postal collection on allocated days, including holiday & sickness cover Monthly stationery order, including kitchen supplies Input of invoices for approval Document Control Uploading and issuing drawings/information packs onto Builderstorm digital drawing platform Managing additions of Colleagues/Consultants onto Builderstorm Dealing with day to day Builderstorm queries Printing of drawings when required Experience, Qualifications and Skills Experience Experience of working in an administration/office based role is essential Experience of working in a similar role within the Construction Industry is preferred Working knowledge of COINS is desirable but not essential, training will be provided Skills and Aptitude Good interpersonal skills Excellent organisation and administration skills, including good attention to detail Ability to work on own as well as part of a team including Senior Management and Group functions Ability to plan and manage your workload, Works effectively to deadlines and competently works on multiple tasks simultaneously, Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and Outlook) and the ability to adapt to new systems, Committed to diversity and inclusion The Role and Working Conditions Willing to be flexible in respect to day to day duties and hours worked In return we can offer you: Competitive salary Competitive Annual bonus 25 days holiday pro rata, plus bank holidays Contributory pension scheme Life assurance We reserve the right to close this vacancy if a large volume of applications are received.
