Training Coordinator

Main Purpose:
To coordinate and accurately record a diverse range of training courses, qualifications and programmes across the company by liaising with participants, managers and providers.
Key Responsibilities & Duties:
Training Administration:
- Consult with managers, participants and providers to arrange training as requested making sure that the approval process is followed correctly.
- Arrangement of training as agreed in the annual PDR process including identifying and arranging group needs where trends are highlighted.
- Maintain our training records and update the central system (e.g. trainee lists, schedules, attendance sheets, certificate and qualification database).
- Issue training booking confirmations and Joining Instructions to the trainees in a timely manner.
- Make sure site understands and fulfils any training venue/equipment requirements as requested by the trainer.
- Book training rooms at head office as needed and ensure they are properly set up.
- Prepare and disseminate material (e.g. instructional notes, feedback forms)
- Prepare and record training agreements (over £1k value) for those on sponsored study.
- Raise purchase orders and 'goods receive' training bookings through the procurement system so that the Purchase Ledger team can release payments.
- Send, collect and record training evaluation forms for analysis.
- Issue training certificates to attendees/sites.
- Be a point-of-contact for providers and participants answering general queries and questions as they arise.
Systems:
- Learning Management System administration including ensuring that all employees have access to the system and the compliance training that they need to complete.
- Administer the company's Apprenticeship (DAS) portal ensuring it is up to date with the latest candidate information.
- Assist with the company's PDR system (Appraisd) including ensuring that all the employee and manager information is correct and up to date.
Other:
- Assist with early careers programmes (graduates and apprentices) as needed including helping to arrange and monitor progress review meetings and collate assessment documents as they are completed ready for review.
- Processing professional membership applications following the correct approval process.
- Assist in collating information for reports such as training activities and days completed.
- Review and recommend improvements to our current processes and procedures.
- Ensure employees and suppliers follow established processes and policies.
- Provide weekly training attendee list to the payroll and wages department.
- Maintain project/companywide training matrix.
QUALIFICATIONS / TRAINING:
Desirable*
CIPD Level 3 in Learning & Development Practice
NVQ Level 2 or 3 in Business Administration
SKILLS / EXPERIENCE:
Required*
Proven experience as a Training Administrator/Coordinator, HR Assistant, Events Coordinator or similar administrative support role.
Knowledge of office procedures and invoicing.
Proficient in MS Office including Word, Excel and Outlook.
Desirable
Administration of Learning Management Systems.
Project Management.
