What You Bring to the Role
3 to 5 years of experience in virtual assistance or related fields
Strong organizational and multitasking skills
Proficiency in task management tools (ClickUp, Notion, Trello)
Experience with content scheduling tools (Buffer, Metricool, Later)
Skilled in file management (Google Drive)
Effective communication using Slack and Gmail
Ability to track analytics and prepare reports (Google Sheets, Notion dashboards)
Knowledge of automation tools (Zapier, Make)
What You'll Do Prospecting & Outreach
Goal: Generate leads and manage communications with potential clients, partners, or collaborators
Research potential clients or companies via LinkedIn, Google, and industry directories
Build and maintain lead lists (e.g., in spreadsheets or chosen system)
Draft and send outreach messages or connection requests
Follow up on outreach emails or DMs on schedule (1-2 follow-ups per contact)
Track and update outreach progress weekly
Prepare summaries of qualified leads for the founder or sales team
Coordinate intro calls and send calendar invites
Keep lead data organized and current across all tracking systems
Content & Social Media Management
Goal: Ensure regular online visibility for the company and founder
Upload videos to YouTube (add titles, tags, timestamps, end screens, thumbnails)
Repurpose YouTube videos into short clips for TikTok, LinkedIn, and Instagram
Write captions, hashtags, and schedule posts using Buffer, Metricool, or Later
Monitor comments and engage (reply or escalate when needed)
Collect video performance analytics weekly
Maintain a content calendar across platforms
Upload podcast episodes to Spotify or Apple if applicable
Create or edit basic thumbnails and visuals in Canva
Transcribe or summarize video/podcast episodes into blog posts or newsletters
Scheduling & Admin Support
Goal: Keep operations running smoothly
Manage founder's calendar (book, reschedule, confirm meetings)
Send reminders to meeting participants
Prepare daily or weekly schedules and meeting summaries
Handle email triage - flag important messages, draft responses
Maintain filing system in Google Drive or Dropbox
Track software subscriptions and renewals
Handle travel bookings (flights, hotels, conferences)
Order equipment or coordinate delivery/logistics if needed
Manage company inbox (info@ / support@)
Prepare and send invoices or receipts if needed
Internal Operations & Project Coordination
Goal: Keep projects on track and ensure accountability
Maintain task tracking systems (ClickUp, Notion, Trello, or spreadsheets)
Record meeting notes and assign tasks
Send reminders to team members about deadlines
Follow up with freelancers (editors, developers, designers) on deliverables
Help document company SOPs and templates
Manage version control for documents and resources
Automate workflows using Zapier or Make
Client & Partner Support
Goal: Ensure smooth experience for existing clients or partners
Onboard new clients (send welcome email, access forms, set up folders)
Schedule onboarding or check-in calls
Track client milestones and deliverables
Send satisfaction surveys or testimonial requests
Prepare simple client reports using metrics dashboards or spreadsheets
Reporting & Analytics
Goal: Support decision-making with up-to-date information
Track outreach success rates and meeting conversions
Record YouTube and social analytics weekly
Prepare monthly performance dashboards
Summarize key numbers for founder (e.g., revenue, followers, leads)
Identify growth opportunities or underperforming areas
General Support / Ad-hoc Tasks
Goal: Take ownership of small but important tasks that keep the company running
Research new tools or software to improve efficiency
Draft SOPs for recurring tasks
Manage internal databases or contact lists
Prepare presentation slides in Canva or Google Slides
Assist in webinar or event setup (emails, invites, reminders)
Coordinate giveaway or partnership campaigns
