OVERALL PURPOSE OF THE ROLE

To support the Operational team with the completion of all administrative functions as listed, but not restricted to, below - as well as assisting Contracts Manager/Project Managers within life management of orders for work to ensure a timely and accurate programme is maintained.


KEY TASKS AND ACCOUNTABILITIES
  • Maintain Audit matrix, and provide PMs with weekly/monthly updates. Audits scanned and emailed to compliance as requested by PMs
  • Maintain training/equipment calibration records at depot for direct labour resources - liaise with central compliance team to ensure company training records maintained
  • Timesheets/Invoices - scanned and send to commercial/cost team as required
  • Civils whereabouts - liaise with supervisor and collate daily whereabouts from office work allocation files
  • Material ordering - process aggregate requests received from site foreman, supervisor. Collate delivery tickets and submit to cost team
  • Environment - send invoices to cost team, file invoices and supply figures to compliance team monthly.
  • Leave - maintain an in-house spread sheet for annual and sick leave, file paperwork. Send to Commercial team
  • ERS - receive paperwork, update spread sheet, complete on Siteman, email sheet weekly
  • Programme support - send out 3 day blank planned sheets to supply chain within operational area.
  • Send out orders passed RBD for updates. Update CPA when received.


ESSENTIAL SKILLS AND EXPERIENCE

  • Experience of working within a team
  • Good organisational skills
  • Good oral and written communication skills
  • Numerate and IT literate
  • Ability to work to timetables, schedules and deadlines
  • Good telephone manner and ability to liaise with client, internal teams and supply chain
