ADMINISTRATIVE OFFICER - SENIOR LEVEL 5

START JULY, 2ND 2018

LOCATION : SLOUGH

PAYE PAY RATE: £10.81 PER HOUR

Main Purpose of job:

To provide an efficient and effective administration support service for the Customer and Communications team.

Main Duties

  • To provide confidential, administrative support to the customer and communications team, including answering the phone, diary management, arrangement of meetings, prioritising and answering routine emails as directed.
  • To support the team in the co-ordination and direction of corporate tasks and activities as required.
  • To maintain systems used in an effective manner, ensuring data quality and accuracy.
  • To produce agendas, attend meetings, take minutes, circulate documents and follow up action as necessary.
  • To undertake a range of business support functions e.g. processing invoices, raising purchase orders, placing orders as required
  • To support other staff and provide administrative cover across the service as directed.
  • Assist the Information and Records Manager by using the councils corporate FOI monitoring system to log and process FOI and Subject Access Requests received from the public.
  • Undertake any other reasonable duties commensurate with the post.
  • Personal Specification

    • Experience
    • Providing office administration / service support services (essential)
    • Experience in dealing with sensitive/confidential information. (essential)
    • Previous experience in working as part of a team. (essential)
    • Maintaining computerised and manual information management systems (essential)

    Knowledge

    • Understanding of what constitutes high quality customer service. (essential)
    • Understanding the services Local Government provides to the public. (desirable)
    • Understanding of and commitment to Equality and Diversity. (essential)
    • Awareness of the principles and requirements of the Freedom of Information Act and Data Protection Act. (desirable)

    Skills/Abilities

    • Administrative skills at a high level, including accuracy in dealing with data. (essential)
    • Must be able to communicate effectively both verbally and in writing. (essential)
    • Able to deal professionally and confidentially with members of the public, staff and members. (essential)
    • Demonstrate a flexible approach to work, able to use own initiative and convey a positive attitude. (essential)
    • Competent with Information Technology. Accurate keyboard skills, with experience of using Microsoft Office, including Word, Outlook and Excel. (essential)
    • Ability to plan, manage time effectively, able to prioritise and work to deadlines. (essential)

    Qualifications

    • Educated to GCSE or equivalent with a good level of literacy and numeracy. (essential)
    • Office based qualifications such as RSA, Pitmans, NVQ Business Administration Level 3, BTEC or equivalent (desirable)
